Replace the recruitment tracking sheet and the paper onboarding checklist with one flow: requested heads move through a clear mobilisation pipeline, and every new arrival — sourced by an agency or hired off your own careers page — gets a structured checklist that can't be signed off until the required steps are actually done.

Mobilisation status lives in a sheet only one coordinator understands
Nobody knows how many seats are open vs candidates in progress
Onboarding steps skipped, then discovered months later in an audit
New staff working before documents are acknowledged
Capabilities
What you get
7 capabilities
Ordered mobilisation pipeline
Requested, approved, selected, offer, processing, entry pass, visa, arrival, onboarded — every request has exactly one stage. This is the agency route; candidates you sourced yourself come through the hiring board instead and join here at arrival.
Vacancy tracking
Open seats are first-class: see vacancies without candidates alongside candidates in flight.
Structured onboarding checklists
A template of onboarding steps is copied per person — editable centrally without rewriting anyone's signed paperwork.
Enforced sign-off gates
Sign-off is refused while required steps are unticked, and 'onboarded' status can only be reached by completing the checklist.
Document acknowledgment gates
Steps linked to company policies can't be ticked until the employee has formally acknowledged the document.
Cancellations with reasons
A cancelled request always records why — so the pipeline's history is analysable, not anecdotal.
One destination for both hiring routes
Whether somebody was mobilised through an agency or hired off your own careers page, the same checklist catalogue opens against them on day one. Onboarding is where the two routes stop being different.
Straight from the product
Real screens from the demo company — the same system your login opens.

Can we change the onboarding checklist later?
Yes — the template is editable. Changes apply to future joiners; completed checklists keep their original signed state.
Does it distinguish agency hires from local hires?
Yes, and at two levels. Agency involvement is tracked per mobilisation request, and checklists can carry optional steps that only apply to some arrivals. Above that, the two are genuinely different journeys: agency mobilisation runs on this pipeline, while candidates you sourced yourself run through the applicant tracking board and drop into the same onboarding checklist once hired.
